The FIT system is capable of capturing input from multiple sources to help you open the lines of communication with your constituents. Once input into the system, these points of communication are individually tracked and a traceable history trail is built around each item to provide complete and accurate information.

FIT gives you the option of capturing communication with your constituency using five main methods:

  1. Constituents input information using a form on your web site;
  2. Constituents use an email address that is automatically captured by your FIT tracking system;
  3. calls or face-to-face communication is input manually by office staff;
  4. hard copy mail and files can be scanned and attached to an item within your system; and
  5. you can give guest access to Constituents so they can enter your system and create new issues.

Two of the most efficient methods are the input form and email address. Using these methods, Constituents are inputting the information - increasing the accuracy of the communication and reducing the workload of office staff.

1. FIT | Web Site Entry Form Example

FIT gives you the option of embedding a form into your own web site to collect requests, comments and concerns from your Constituency. FIT automatically creates a new issue to capture this information, and the Constituent will receive a ticket number that will allow them to track their issue while it is being addressed by internal staff. This extension of your existing web site will save your staff considerable time, since end users input the information and details themselves and FIT's workflow rules can assign each issue to the appropriate staff member.

Internal staff can define any data that they want to be public knowledge. This data turns into a valuable knowledge base that includes past inquiries, comments and documents that are attached to issues.

2. FIT | Support Email Box

FIT allows you to configure automatic ticketing of emails coming to a support email box. This means that Constituents can create issues by simply sending an email to a general email box.

Note: Our tool also acts as a spam filter by allowing you to configure content rules. In this case, you must use the word "Request" in your email title.
